IC2 Talent Acquisition Solutions LLC ("IC2TA," "we," "us," or "our") provides executive search and talent acquisition consulting services. This Privacy Policy explains how we collect, use, store, and share personal information in connection with (1) our website, and (2) the recruiting and search services we provide to clients and candidates.

This policy applies to:
- Visitors to www.ic2ta.com
- Candidates we contact, interview, or present as part of a search engagement
- Client contacts we work with on a search or consulting engagement


1. Information We Collect

Website visitors:

This website collects personal data to power our site analytics, including:
- Information about your browser, network, and device
- Web pages you visited prior to coming to this website
- Your IP address
- This information may also include details about your use of this website, including clicks, internal links, pages visited, scrolling, searches, and timestamps

We share this information with Squarespace, our website analytics provider, to learn about site traffic and activity.

Job candidates:
- Business and personal contact information (name, email, phone, mailing address)
- Current title, employer, and employment history
- Compensation information shared voluntarily during screening (e.g., current/expected compensation)
- Resume/CV content, including education, professional licenses, and certifications
- Notes from interviews and reference conversations
- Audio/video recordings of calls, where recorded (see Section 4)

Client contacts:
- Business contact information (name, title, email, phone, employer)

We do not knowingly collect personal information from children under 13, and our services are not directed to minors.

2. How We Collect Information

We collect information directly from individuals through:
- Email, phone, and video call communications
- Resumes and applications submitted directly to us
- Professional networking platforms (e.g., LinkedIn)
- Referrals from professional contacts

We do not collect candidate or client information through any client's internal systems or APIs.

3. How We Use Information

We use personal information to:
- Evaluate candidate fit for specific search engagements
- Communicate with candidates and clients about opportunities and engagements
- Conduct and document interviews and reference checks
- Fulfill our contractual obligations to clients under search engagement agreements
- Maintain our own business records

We do not sell personal information, and we do not use candidate or client information for advertising or any purpose unrelated to providing our services.

4. How We Share Information

We share personal information with:

- Clients, as part of presenting candidates for a specific search (e.g., resumes, interview notes, comp expectations)
- Service providers (subprocessors) who support our operations, including:
  - Microsoft 365 (email, file storage, and video conferencing, recording, and transcription via Teams)
  - Squarespace (website hosting and analytics, as described in Section 1)

These providers are contractually and/or by platform-standard terms bound to appropriate data protection obligations, and we limit their access to what's needed to provide their service to us. We do not permit subprocessors to use candidate or client data for their own purposes.

We do not otherwise sell, rent, or share personal information with third parties for marketing purposes.

5. Call Recording and Transcription

Where we use Microsoft Teams to record and/or transcribe video calls, we will notify participants before recording begins and obtain consent as required by applicable law (including two-party consent requirements in states such as California). Recordings and transcripts are retained only as long as needed for the relevant search engagement and are then deleted.

6. Data Retention

We retain candidate and client information for as long as reasonably necessary to support active and reasonably foreseeable future search engagements, and to comply with our legal and contractual obligations. Information no longer needed for these purposes is deleted or de-identified.

7. Your Rights

If you are a California resident, you have rights under the California Consumer Privacy Act (CCPA), including the right to request access to, deletion of, or correction of your personal information, and the right to know what categories of information we have collected and shared. To make a request, contact us using the information in Section 9.

We will respond to verified requests consistent with applicable law.

8. Security

We take reasonable administrative, technical, and organizational measures designed to protect personal information against unauthorized access, disclosure, alteration, or destruction, including relying on the security infrastructure of our service providers (e.g., Microsoft 365's enterprise security and compliance certifications).

No system is completely secure, and we cannot guarantee the absolute security of information transmitted to us.
